1. Who we are
OpenVIP ("OpenVIP," "we," "us," or "our") provides a mobile application that real estate agents use to run branded open-house sign-ins, capture visitor information, and follow up with prospects. This Privacy Policy explains what information we collect through our app and website (collectively, the "Service"), how we use it, and the choices you have.
OpenVIP plays two roles. For information about agents who hold an account, we act as the data controller. For information that an agent collects from their open-house visitors through the Service, the agent is the controller and OpenVIP acts as a processor handling that data on the agent's behalf and under their instructions.
2. Information we collect
Agent account information
When you create an OpenVIP account, we collect information such as your name, email address, phone number, real estate license details, and the branding you add (logo, brand color, listing details). If you sign in with Apple or Google, we receive basic account identifiers from those providers to authenticate you — we do not receive your password.
Open-house visitor (lead) information
When a visitor signs in at an open house, the Service collects the information the agent's sign-in form requests — typically name, email, and phone number, plus any additional fields the agent configures. This information is captured on behalf of the agent.
Usage & device information
We collect limited technical information needed to operate and secure the Service, such as device type, app version, and basic diagnostic and performance data.
3. How we use information
- To provide, maintain, and improve the Service;
- To deliver captured leads to the agent and organize them within the app;
- To send follow-up emails and text messages on the agent's behalf and at their direction;
- To authenticate accounts and keep the Service secure;
- To provide customer support and respond to your requests;
- To comply with legal obligations.
We do not use open-house lead information for our own marketing, and we do not build advertising profiles from it.
4. Open-house leads & data ownership
Leads captured through the Service belong to the agent who collected them. OpenVIP does not sell, rent, or share those leads with other agents, brokerages, advertisers, or data brokers. We process them only to provide the Service to the agent — for example, storing them, organizing them, syncing them to a CRM the agent has connected, and sending follow-ups the agent has set up.
5. How information is shared
We share information only in these limited circumstances:
- Service providers. We use trusted vendors to host data and deliver messages (for example, our cloud hosting provider, and email/SMS delivery providers). They process data on our behalf under contractual confidentiality and security obligations.
- At your direction. When an agent connects an integration (such as a CRM, cloud storage, or webhook), we send data to that destination as instructed by the agent.
- Legal & safety. We may disclose information if required by law, or to protect the rights, safety, and security of our users, the public, or OpenVIP.
- Business transfers. If OpenVIP is involved in a merger, acquisition, or sale of assets, information may transfer as part of that transaction, subject to this Policy.
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
6. Third-party integrations
The Service lets agents connect optional integrations — for example Follow Up Boss, BoldTrail / kvCORE, Google Drive, or a custom webhook. When you connect one, data you direct to it is governed by that third party's own privacy policy and terms. We encourage you to review them. You can disconnect an integration at any time in the app.
7. Data retention
We retain agent account information for as long as the account is active. We retain lead information for as long as the agent keeps it in the Service or until the agent deletes it. When an account is closed, we delete or de-identify associated personal information within a reasonable period, except where we are required to retain it for legal, accounting, or security purposes.
8. Security
We use administrative, technical, and organizational safeguards designed to protect information, including encryption in transit and access controls. No method of transmission or storage is completely secure, but we work to protect your information and to promptly address any issues.
9. Your rights & choices
Depending on where you live, you may have rights to access, correct, delete, or port your personal information, and to object to or restrict certain processing. Agents can manage much of their information directly in the app. To make a request, contact us at support@openvip.app.
If you are an open-house visitor and wish to access or delete information you provided at a sign-in, please contact the agent who collected it, or reach us at the address above and we will help route your request to the appropriate agent.
Residents of California (CCPA/CPRA), the EEA/UK (GDPR), and other regions may have additional rights; we honor applicable requests. We do not discriminate against you for exercising your privacy rights.
10. Children's privacy
The Service is intended for real estate professionals and is not directed to children under 18. We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us so we can remove it.
11. Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, provide additional notice. Your continued use of the Service after an update means you accept the revised Policy.
